Visual Media Management Checklist

Who can see them? Who can share them? Do we have permission?

These are the questions every organization should be asking about their visual media. If you can't answer them confidently, you have a gap.

I Does your platform reflect how your community is actually organized?
Your community has departments, programs, grades, teams, and seasons. Your media platform should mirror that structure — so content from the arts department doesn't get mixed with athletics, and last season's photos are exactly where you'd expect them. Year after year. Season after season.
II Who gets to see what — and how do you control it?
Students, players, parents, faculty, coaches, staff — each person has a different role and should see only what's appropriate for them. Access should be by invitation only, with permissions tied to roles so you never have to wonder who can see what.
III Can every member give, withhold, or revoke their consent?
Every person in a photo has a right to say yes, no, or change their mind. That means consent to share personal data and content must be easy to give, easy to withhold, and easy to update or revoke — at any time, not just on day one.
IV Who owns the photos — and who's responsible for protecting them?
